New in 2010
Playgroup Queensland's new membership system will make life so much easier for our hard working playgroup volunteers. The new system has been designed with considerable input from playgroups and will allow volunteers and members to update your group and family details quickly and easily at any time day or night seven days a week.
Key changes to the system from mid October include:
- Online applications as the preferred method of payment for membership fees. Our hard working volunteers will not have to bank membership fees, post cheques or pay for money orders creating a huge saving in time and money. Importantly our Membership and Administration team will not have enter data for thousands and thousands of families. To reflect this change credit card surcharges will not apply to on line payments but will continue to apply for payments made at playgroup.
- The commencement of our 'date of joining membership system' means every family will receive a full 12 months membership from the date they pay, that is, if you join on 15 October your membership fails due on the 14th October the following year
- Half yearly membership no longer applies as every family joins for 12 months under the new date of joining system
- A reminder to pay membership will be sent to each family 30 days prior to them becoming an un-financial membership. All the family needs to do is re-join on line and update details - No fuss or awkward moments at playgroup for volunteers asking families to pay fees
to assist group volunteers you will be notified by email that a family has paid membership or is due to pay membership. For those not on email a list of financial and un-financial members will be sent to you quarterly or as requested. - Nominated playgroup volunteers will be given access to the system and will be able to see which families are financial and unfinancial members
- Volunteers will be able to log onto the new system and make changes to their group profile at any time without the need to call our office. You will be able to change the groups details include days / times, if you have vacancies or not, change yours and other volunteers contact details and many day to day changes. One exciting prospect is that each group will be able to upload an optional photo of the group and elect to have google map locations for the playgroup. You will be able to have an interactive description of the playgroup that can change weekly should your group activities vary. For example this week at playgroup we dug for dinosaurs in the sandpit or this week at playgroup we went to the Library for story telling.
- Families using their membership number as a gateway key will be able to log in and change their families details for example adding a new baby to your family membership or changing to a grandparents name if you return to work and the grandparent takes the child to playgroup
These changes are important as they bring Playgroup Queensland into the 21st century and transform our membership system into a user and volunteer friendly system. If your group or family does not have access to the web or email the paper forms will be available at playgroup. Playgroup Queensland acknowledges that this is important for country and isolated groups that do not have reliable broadband and internet access. Groups will receive a supply of forms at the commencement of each year and follow the established process.
Our Training and Development team will be running workshops throughout Queensland in October and an on line tutorial will also be available.

About Insurance
Playgroup Queensland is the only organisation in Queensland to offer comprehensive insurance to cover playgroups, your equipment and possessions, the group's volunteers, and participating adults and children. This managed scheme is affordable due to the large number of groups and families participating. Playgroup Queensland takes the stress away from you as a parent or volunteer by coordinating the scheme. History tells us that it is very difficult to get affordable insurance for just one group.
It is important to note nearly all of community venues, halls or churches in Queensland will require your playgroup to have appropriate insurances. If your group is a home based group you will need insurance cover to conduct playgroup activities in yours and other members' homes. This safeguards you in the event of a legal action being taken as the household owner.
Many people mistakenly believe that if they hire a community venue or church you are covered by the venue or church insurance. In most cases venues have only public liability coverage for their hall and its committee; meaning if you or your child is injured or you injure someone else you are personally liable. This also applies if you damage the halls property such as breaking a window.
If the venue does not have public liability insurance we strongly recommend your group not use the premises.
